About our Opportunity

We have a fantastic opportunity for a progressive and experienced Office Administrator to join our diverse team of thought leaders, supporting multiple departments to manage their everyday business demands.

As our Office Administration Support, you will be responsible for front of house at our Global Centre of Excellence, taking care of our valued visitors, members, and partners. You will provide reception, administrative and organisational support where needed. In addition, you will also support back-office management duties whilst being a brand ambassador for Glass Futures at all times.

This role would suit an individual that has significant experience managing organisational administration support in a varied and high paced environment with a strong ability to multitask effectively. You will be someone who possesses the ability to work autonomously where necessary, someone who is supportive, innovative, time sensitive and keen to develop, grow professionally within an expanding organisation. As part of the Glass Futures team our Office Administrator Support post will have the opportunity to work creatively and must be looking for an interesting new challenge and willing to grow professionally within the organisation.

Core Responsibilities

  • Provide project administration support including the organisation of meetings, attending meetings, preparing agenda’s and minute taking
  • Preparing complex documentation, maintaining electric filing systems, proof reading and collating KPI information for reports
  • Creating and maintaining Action logs for various projects
  • Collaborating with various stakeholders providing administration support where required
  • Provide Front of House (Reception) duties including welcoming of all visitors and following security protocols
  • Answering and redirecting phone calls and email enquiries to the relevant person timely and professionally
  • Manage and prepare meeting rooms via booking system
  • Manage and distribute incoming/outgoing post
  • Support the organisation and planning of training / events
  • Provide administrative support to our Membership team
  • Various other ad hoc administration tasks when required
  • Consistently be representative of the company’s core values, vision and mission.

Desirable Skills

  • Experienced in providing reception duties and delivering exceptional customer service
  • Demonstrable experience providing extensive administration support to various teams within a project focused environment
  • Confident in your own abilities with strong organisational skills and a high level of attention to detail
  • Excellent written and verbal communication skills with the ability to adapt to the needs of your peers and stakeholders and build relationships/networks throughout the organisation
  • Ability to work confidently and competently both independently and as part of a team, with the ability to prioritise and manage evolving/changing deadlines
  • Experience supporting various teams in project activities
  • Be a proactive person with the drive to succeed and deliver show up without direct supervision
  • Absolute discretion, trust and confidentiality in managing multiple stakeholders confidently, with often sensitive work
  • Committed to continued learning and professional development
  • Adaptable and flexible with working hours to meet the needs of the business
  • Ability to work autonomously, make thoughtful, reactive and proactive decisions and recommendations in a professional and timely manner
  • Forward thinking and experienced at interpreting needs and requirements
  • Computer and technology literate – intermediate knowledge of Outlook and Microsoft packages

Salary & Reward: 

£20k – £25k dependent on experience

Working Hours: 

Full time, Monday – Friday (37.5 hours per week), core hours to be agreed but typically between 08:00-16:00 / 09:00-17:00.

Location: 

St Helens Global Centre of Excellence/remote. Please note this post will involve remote work to begin and then transition to a full time office based role when our site opens.

Holidays:

25 days holiday plus bank/public holidays.
