About our Opportunity
We have a fantastic opportunity for a progressive and experienced Executive Assistant to join
our diverse team of thought leaders, supporting multiple senior leaders including the CEO to
manage their diverse everyday business demands.

As our Exec Assistant you will offer diary, administrative and organisational support, together
with back-office management duties and you will be the first line of contact for multiple
Senior Leaders, whilst being an ambassador for Glass Futures within our wider team.

This role would suit an individual that already has experience as a PA / Executive Assistant
working with personnel up to board level. You will be someone who possesses the ability to
work autonomously, someone who is innovative, creative, and keen to develop, progress and
grow professionally within an expanding organisation. As part of the Glass Futures team our

Core Responsibilities
• Successfully co-ordinate and be responsible for the General Managers time:
proactively managing diary requirements, scheduling appointments, meeting
agendas, board report collation and staff updates etc.
• Email management and prioritising communications, together with managing
complaints and preparing formal letters where required.
• Full Administrative support to; filtering, prioritizing, re-routing, and responding
to queries in a timely and professional manner, both verbally and in writing.
• Organise a wide range of meetings and events at internal/external venues,
liaising with internal / external contacts as appropriate. Ensuring all deadlines are
met for key activities. Awareness of key stakeholders and prioritization of
• Support the wider team and at times lead in the planning and coordination of
high-profile events
• Undertake a wide variety of administrative duties such as expense claims,
mileage submissions, travel itineraries, accommodation & flight bookings, and
events coordination etc.
• Support in compiling professional standard presentation materials and
documents in MS Office applications.
• Deal with incoming mail as appropriate and allocate items where possible. When
appropriate originate replies under own signature or prepare
drafts/documentation for signature.
• Be able to collate data from internal systems to create useful analysis reports
• Consistently be representative of the company’s core values, vision and mission.

• Confident in your own abilities with strong organisational skills & a prominent
level of attention to detail
• Excellent written and verbal communication skills with the ability to adapt to the
needs of your peers and stakeholders at all levels of organisations
• Ability to work confidently and competently both independently and as part of a
team, able to prioritise and manage deadlines
• Experience of supporting various teams in project activities
• Ability to build relationships and networks throughout the organisation
• Be a proactive person with the drive to succeed and show up without direct
• Absolute discretion, trust, and confidentiality in managing multiple stakeholders
with often sensitive work
• Committed to continued learning and professional development
• Confident in communicating with senior stakeholders on a global scale
• Adaptable and flexible in working hours and location as dictated by the global
footprint of the business
• Ability to work autonomously, make thoughtful, reactive, and proactive
decisions and recommendations in a professional and timely manner
• Computer and technology literate – Excellent knowledge of Outlook and
Microsoft packages
• Forward thinking and experienced at interpreting needs and requirement

Salary & Reward: £35k – £38k dependent on experience

Working Hours: Full time, Mon- Fri with remote working

Location: Field based, home office
