About our OpportunityWe have a fantastic opportunity for a progressive and experienced Executive Assistant to joinour diverse team of thought leaders, supporting multiple senior leaders including the CEO tomanage their diverse everyday business demands. As our Exec Assistant you will offer diary, administrative and organisational support, togetherwith back-office management duties and you will be the first line of contact for multipleSenior Leaders, whilst being an ambassador for Glass Futures within our wider team. This role would suit an individual that already has experience as a PA / Executive Assistantworking with personnel up to board level. You will be someone who possesses the ability towork autonomously, someone who is innovative, creative, and keen to develop, progress andgrow professionally within an expanding organisation. As part of the Glass Futures team ourExecutive Assistant will have the opportunity to manage their own diary and must be lookingfor an interesting, new challenge and be willing to grow professionally within theorganisation. Core Responsibilities• Successfully co-ordinate and be responsible for the General Managers time:proactively managing diary requirements, scheduling appointments, meetingagendas, board report collation and staff updates etc.• Email management and prioritising communications, together with managingcomplaints and preparing formal letters where required.• Full Administrative support to; filtering, prioritizing, re-routing, and respondingto queries in a timely and professional manner, both verbally and in writing.• Organise a wide range of meetings and events at internal/external venues,liaising with internal / external contacts as appropriate. Ensuring all deadlines aremet for key activities. Awareness of key stakeholders and prioritization ofmeetings.• Support the wider team and at times lead in the planning and coordination ofhigh-profile events• Undertake a wide variety of administrative duties such as expense claims,mileage submissions, travel itineraries, accommodation & flight bookings, andevents coordination etc.• Support in compiling professional standard presentation materials anddocuments in MS Office applications.• Deal with incoming mail as appropriate and allocate items where possible. Whenappropriate originate replies under own signature or preparedrafts/documentation for signature.• Be able to collate data from internal systems to create useful analysis reports• Consistently be representative of the company’s core values, vision and mission. Desirable Skills• Confident in your own abilities with strong organisational skills & a prominentlevel of attention to detail• Excellent written and verbal communication skills with the ability to adapt to theneeds of your peers and stakeholders at all levels of organisations• Ability to work confidently and competently both independently and as part of ateam, able to prioritise and manage deadlines• Experience of supporting various teams in project activities• Ability to build relationships and networks throughout the organisation• Be a proactive person with the drive to succeed and show up without directsupervision• Absolute discretion, trust, and confidentiality in managing multiple stakeholderswith often sensitive work• Committed to continued learning and professional development• Confident in communicating with senior stakeholders on a global scale• Adaptable and flexible in working hours and location as dictated by the globalfootprint of the business• Ability to work autonomously, make thoughtful, reactive, and proactivedecisions and recommendations in a professional and timely manner• Computer and technology literate – Excellent knowledge of Outlook andMicrosoft packages• Forward thinking and experienced at interpreting needs and requirement Salary & Reward: £35k – £38k dependent on experiencePerformance related Bonus Company contributory pension scheme – Full private health,optical and dental care – Cycle to work Scheme – Support with Professional Membership andprofessional training and development.
